THE DEPARTMENT

The Office of Academic Resources is within the Division of Academic Affairs. Academic Resources (AR) develops, communicates, and leads divisional processes for fiscal management of budgets, positions, and hiring plans, and provides training and consultative support in the full range of activities associated with all-funds and multi-year budgeting and financial management in Academic Affairs. AR is the lead office for divisional long-term space assignment, management of academic space, and divisional engagement in facility upgrades and renovation projects. AR collects, aggregates, analyzes, and reports information to support short- and long-range planning, assessment, analysis, and action in divisional activities including fiscal and human resources management, strategic enrollment management, and space assignment and management. AR contributes to the success of the Cal Poly Pomona community in its areas of responsibility by providing proactive and professional leadership, mentoring, communication and advocacy. AR engages in day-to-day consultation and collaboration with offices in other university divisions and is a key liaison in advancing divisional objectives.

 

DUTIES AND RESPONSIBILITIES

  • Provide Analysis and Support for Computer Purchasing and Deployment Consult with IT&IP desktop support for recommendations for equipment replacement and deployment. Analyze budget and needs in order to make recommendations on the best deployment of resources to meet faculty needs division-wide and staff needs within the central offices of Academic Affairs. Prepare computer orders, track through the procurement process, provide active follow-up as equipment is delivered and installed, and work with Procurement on the property inventory so that new systems are correctly documented and old ones are removed.
  • Provide Budget Analysis for the Provost’s Office and Academic Resources Develop expertise in resource needs and provide analysis for the Provost’s Office and the Academic Resources Office. Design and prepare budget reports and analyze expenditures to inform management decisions on a predetermined and predictable schedule, exercising judgment on the format and content. Use sound judgment in day-to-day financial operations to initiate and recommend specific transactions to execute programmatic functions. Develop alternatives and recommend the best course of action. Assist with processes and paperwork as needed. Act as an information resource for others.
  • Provide Review and Decision Support for Financial Transaction Processing Analyze paperwork provided by colleges and other areas in Academic Affairs requesting a financial commitment that must be reviewed by the office before further processing. Provide written summary information for management. Develop and maintain expertise on related procedures.
  • Copier Purchasing and Maintenance Provide analysis for copier/printer equipment needs including extensive vendor contact to determine the most cost-effective method for meeting the needs of all Academic Affairs departments within the Student Services Building. Process updated lease and maintenance agreements. Estimate in advance and make recommendations on copy volume.
  • Communication and Training Support Collaborate with the Executive Director and other members of the finance team to create and send standard communications that convey policy and promote consistent standards. Use developed expertise with presentation software for tutorial development. Track and update summary subscriptions in Tableau.
  • Participate as Academic Resources Team Member Gather and analyze information to improve the functioning of the Academic Resources office, combining a working knowledge of fiscal resources, processes, and policies with judgement and discretion on how changes will impact not only this office but other campus areas as well. Participate in projects and activities as a member of the academic resources team.

 

QUALIFICATIONS

  • Bachelor's degree AND/OR the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Valid Driver License.
  • Working knowledge of general practices, programs, and/or administrative specialty; basic knowledge of and ability to apply fundamental concepts; working knowledge of budget policies and procedures; ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty; knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
  • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques; ability to organize and plan work and projects, including handling multiple priorities; ability to make independent decisions and exercise sound judgment; ability to compile, write, and present reports related to program or administrative specialty; demonstrated ability establish and maintain cooperative working relationships.  

 

Preferred Qualifications

  • Ability to reason logically and use independent and creative thinking and writing on assigned projects; ability to handle sensitive and confidential situations; ability to analyze processes and recommend improvements; ability to manage multiple projects and meet deadlines; ability to run meetings and speak to groups effectively. Demonstrated expertise in campus procurement and inventory tracking processes, with insight into the reasoning behind policies and practices.

CSU Classification

The classification salary range for this position according to the respective skill level is minimum $3,879 and maximum $7,488 per month.
