Job Summary 

Under the supervision of the Isabel Patterson Child Development Center Director, the Administrative Assistant performs a full range of moderate to complex duties in support of the enrollment and registration of families and children in the various programs of the IPCDC. This position collects data and maintains records for the IPCDC central office, enters data into computerized records systems, generates a variety of specialized reports for Center management and teachers.

Furthermore, this position is responsible for providing services that are equitable, inclusive and provide culturally sensitive services that enhance the quality of campus life, retention, and graduation rate. This position uses a student centered and equity minded approach in all communication and service efforts.

Key Responsibilities

  • Attendance and Enrollment Reporting: Assembles and distributes child and family enrollment materials and enrollment registration packets for all sessions and all programs for new, transferring, and returning families. Receives registration materials and sorts and distributes as directed.
  • Program Records/Files and Clerical Duties: Prepares annual child immunization report for submission to the CA Department of Public Health.
  • In collaboration with receptionist, may assist in creating, distributing and post information and advertising for internal fundraising.

Knowledge Skills and Abilities

Ability to read, analyze and interpret general business and financial reports, technical procedures, or governmental regulations. Ability to create reports and business correspondence requiring fundamental written communication skills including a sound foundation in English grammar spelling and punctuation.  Ability to respond to inquiries from customers, regulatory agencies, members from campus community, or the public. Ability to effectively present information to management, staff, and the public.

 Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

  • Equivalent to three years of administrative support experience required. A minimum of 2 years clerical or administrative work experience in a school or childcare center preferred.
  • LiveScan is required due to direct contact with minor children.

Physical Summary

Light work - Job involves some lifting of medium weight objects (10-20 pounds) and/or 10% - 20% of the job involves standing or walking.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Hiring Range: The hiring range for this position is $3,680. - $4,548. per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,680 - $5,417 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
