Job Summary 

This position provides administrative support to increase the efficiency of the functions of the Office of Campus Planning and Sustainability.  It Provides direct support to the Director in regard to setting up and coordinating meetings and events.

Key Responsibilities

  • Manages calendar for the Director of Campus Planning and Sustainability and the Campus Sustainability Manager through Microsoft Outlook.  Schedule meetings with a wide variety of offices across the campus.
  • Utilizes and Maintains Select Databases used in the office - Supports tracking of supplies for the sustainability department in the laydown yard.
  • Creates professional correspondence and documents for distribution.
  • Requests and monitors service of office equipment.  Serves as main point of contact for supply orders.
  • Provides Office Organization and Staff Support - Assists with setup, tabling, and outreach at Sustainability Events. Tracks Intern Work schedule calendar.

Knowledge Skills and Abilities

General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English, grammar, spelling, and punctuation. Thorough knowledge of office methods, procedures, and practices. Orientation and understanding of customer services methodologies for internal and external customers requiring active problem solving and effective interpersonal skills. Fluency in using standard office software packages including word processing, spreadsheets, and e-mail.

Ability to learn, independently interpret and apply a variety of complex policies and procedures.  Ability to identify deviations from applicable policies or procedures. Ability to identify and solve standard problems and refer more complex problems to appropriate staff. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough, and, at times, creative solutions. Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data. Demonstrated competence in effectively presenting standard information in writing, and independently drafts and prepares clear and concise final form correspondence. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

• Equivalent to three years of administrative support experience required. 

• Proficiency in MS Office Suite, Knowledge of Salesforce, PlanOn or Bluebeam preferred.

• Appropriate experience to be proficient in performing most or all work assignments as defined in the position description preferred.

Physical Summary

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Licenses / Certificates

• Valid CA Driver's License preferred.

Employees who are required to operate motorized vehicles and/or use their personal vehicle more than once a month on university business are required to take a mandatory Defensive Driving course and enroll in the DMV Employee Pull Notice (EPN) Program.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $1,840 - $2,708 per month.

Excellent benefits through CalPERS (health, vision, dental), tuition fee waiver, generous vacation, and sick leave, and 14 paid holidays each year.

Time Base

0.5 time-base, part-time.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
