PLEASE NOTE: The starting salary placement depends on qualifications and experience and is anticipated to be in the range of $4,687.00 per month to $7,955.00 per month.

About the Position

This position provides support for the Faculty Affairs duties of the Associate Provost. Primarily working independently, this individual handles all retention, tenure and promotion processes for the 335 tenure and tenure track faculty at East Bay. In addition, the individual is responsible for all paperwork processes associated with the hire, evaluation and range elevation of the approximately 400 lecturers hired each semester. Other duties include: correspondence with faculty regarding participation in the FERP program; management of sabbatical/difference in pay/leave of absence requests by the faculty; letters and correspondence connected to Emeritus faculty; and preparation of correspondence for the Provost on matters such as market salary adjustments, promotion increases, and leaves.

The position assures that all Personnel Action Files maintained in Academic Affairs are as up-to-date and accurate as possible. May be responsible for responding to personnel audits, information requests, and other responses on other legal/union matters. Helps maintain storage and disposal of documents.

Other duties to include: assisting the Associate Provost with faculty honors ceremony, student honors ceremony, commencement program, and the answering of inquiries.

Responsibilities

  • Assures all processes connected to tenure, promotion, retention, sabbaticals, FERP participation and emeritus status are accurate and timely.
  • Assures that all processes connected to the hire, evaluation and range elevation of lecturers are accurate and timely.
  • Assists in the preparation of scripts, programs and other materials required for Faculty Honors, Student Honors, Week of Recognition, and Commencement.
  • Assures that are Personnel Action Files maintained in the Office of the Provost and in storage are complete and have the information required for retention under the CSU retention schedules.
  • Answers inquiries regarding faculty processes, policies, calendars, and other matters.
  • Trains individuals in the faculty contract policies and processes; works with selected individual to train administrative assistants in the colleges on contracts and other faculty affairs issues. Works on migrating academic affairs files to the newest version of CHRS.
  • Creates lists of active faculty for the Senate. Tracks legislation passed by the Senate and its impact on academic affairs processes and calendars. May be required to produce list of those lecturers eligible for senate service.
  • Assures that policies and calendars on the Academic Affairs website are current and accurate.

Required Qualifications

  • Experience working in an academic department, college office, or academic office.
  • Proficiency with MS Word, Excel, and PowerPoint and Google applications.
  • Ability to maintain extremely accurate files that will withstand audit scrutiny at any time.
  • Ability to work quickly and confidentially on matters that impact faculty retention, salaries, and other matters.
  • Ability to work well with faculty and staff.
  • Ability to answer inquiries promptly.
  • Ability to train administrative support staff in the colleges and departments on procedures and individual(s) in the Office of Academic Affairs to create faculty contracts, track tenure and promotion and other faculty processes.
  • Ability to keep the Senate Office and the Office of the Online Campus up-to-date on committee memberships, impact of new senate policies on faculty processes, and other matters.
  • Ability to serve as a resource for the transition to the CHRS system.
  • Must be resourceful, confidential and proactive; may be required to obtain information needed for grievances and other legal matters.
  • Ability to serve as a resource person to the Office of University Communications and the President’s Office on matters connected to faculty (such as active status, correct spelling and pronunciation of names, current titles, and years of service).
  • Must be able to write well and draft memos for signature by the Provost and the Associate Provost. 

Minimum Qualifications

  • A Bachelor’s degree in a related field or an equivalent combination of directly related experience, education and training.
  • Demonstrated proficiency and competence in performing work responsibilities relevant to this position.

Preferred Skills and Knowledge

  • Familiarity with the California Faculty Associate (CFA/CSU CBA) contract.
  • Knowledge of CSU East Bay Senate policies: especially Sabbaticals, FERP, post-tenure review, RTP, range elevation, lecturer evaluation and others.

Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.
