Job Summary

This position provides general administrative support for the operations within Facilities Management including direct administrative support to the Building Trades groups and assisting the Director of Facilities Management.


Key Responsibilities

  • Coordinates daily administrative operations of Facilities Management Operations specific to Building Trades including SUAMs, Work Order Management System entries, Labor tracking, processing of absence request, creating purchase request, budget tracking and processing of invoices.
  • Tracks data for reports and in the absence of the field operation coordinator, assumes duties to facilitate department operations.
  • Labor Entry - Enter workers labor, attendance & overtime, run reports for missing labor weekly, completes absence request forms daily as needed for call in situations, deliver to BBS payroll.
  • Support of commencement operations and department events by assisting building operations coordinator with coordination of meeting set up staff schedules.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

  • CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,367 (Step 1) - $6,362 (Step 20) per month.

Knowledge, Skills, and Abilities

The ideal candidate demonstrates strong technical proficiency, including working knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Access) and Adobe Illustrator, along with the ability to quickly learn and effectively utilize internal systems such as computerized maintenance management and campus event management platforms. They possess excellent oral and written communication skills and can engage professionally with individuals at all levels, including administration, faculty, staff, contractors, and the general public. With a proven background in customer service, the candidate excels in providing high-quality support, managing multi-line phone systems, and using communication tools such as radios and paging systems. They exhibit exceptional organizational, interpersonal, and multitasking abilities, enabling them to prioritize projects, adapt to changing situations, and perform effectively in fast-paced, high-pressure environments. Additionally, they demonstrate creativity, cultural awareness, and the ability to collaborate with diverse groups while maintaining a strong focus on delivering outstanding service in events and facilities operations.

Education and Experience

• Equivalent to five years of administrative support experience required.

• Bachelor's degree is preferred.


Licenses / Certificates

• Valid California DL preferred.

Employees who are required to operate motorized vehicles and/or use their personal vehicle more than once a month on university business are required to take a mandatory Defensive Driving course and enroll in the DMV Employee Pull Notice (EPN) Program.

Physical Summary

Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects (10 pounds or less).
