Position Description

Working Title:  Transfer Credit Evaluator

Classification Title: Evaluator I

Classification Salary Range: $4,262 - $5,998 per month

The anticipated salary for this position is $4,262 per month.

The final salary is dependent upon qualifications and experience.

About the Department/Position:

Under the general supervision of the Registrar, the incumbent will perform the following: Review records for graduation completion and credit toward degrees; interprets and applies provisions of Title V of California administrative code and University policies relating to transfer credit and graduation; evaluate transfer credit for admissions, undergraduate degrees and specialized programs; explains state and university requirements for transfer credit and degree completion to students, staff and faculty; utilizes the universities degree audit to monitor the flow of graduation applicants throughout the graduation process; performs initial, preliminary, and final degree review to verify student progress toward degree completion; prepare and provide presentations to academic departments regarding graduation reviews and processes; and performs other related duties as assigned.

Overview of Duties and Responsibilities:

  • Interprets documents from other educational institutions to determine equivalence of degree and courses toward CSU requirements for applicants and current students.
  • Determine accreditation status of every institution with regard to acceptance of credit, determine course content, level (lower division, upper division, graduate) unit value and grading from transcript and appropriate catalogs from other institutions.
  • Determine equivalency of courses from other institutions to university requirements.
  • Evaluate courses in satisfaction of specific nontraditional credit and university general education and statutory requirements; results of various examinations toward course credit such as Advancement

Placement, CLEP and other system approved testing procedures approved.

  • Review file to verify transcripts received by utilizing PeopleSoft and imaging software.
  • Verify accreditation of post-secondary institutions previously attended.

Minimum Qualifications:

  • Equivalent to completion of a formal training program in academic records; OR one year of academic records evaluation experience; Or, any 12-month combination training and experience related to academic records evaluation.

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively with a diverse population (students, faculty, staff, and administrators) in both written and oral formats.
  • Work independently with guidance from the Registrar  in analyzing and assessing problem situations.
  • Skill in evaluation of academic records as required for evaluation of degree requirements; and, prioritizing and organizing work to meet deadlines.
  • Knowledge of the format and interpretation of course records and transcripts of institutions of higher education.
  • Knowledge of authenticating course credits and comparing records of differing formats, such as foreign records.
  • Knowledge of campus curriculum requirements for majors, minors, terminal degrees, and special program designations, and knowledge of application of campus resource guidelines for making determinations using various criteria.

Preferred Qualifications:

  • Bachelor's degree from a four-year College or University.
  • Prior experience as a transfer credit Evaluator or related experience in admissions and records unit.
  • Possession of a baccalaureate degree from an accredited college or university or equivalent.
