Major Duties

Under general supervision, the Department Analyst handles comprehensive financial tracking and reporting, including managing various departmental funds and ensuring accurate reconciliation. The role includes detailed coordination of faculty and staff administrative processes, such as recruitment, onboarding, payroll, and records management. Additionally, the analyst coordinates major departmental events and scholarship activities, providing vital logistical support and compliance oversight. They facilitate proactive communication with internal and external stakeholders, addressing policy changes and procedural updates effectively. Furthermore, the role includes special project support, collaborating across departments to maintain continuity during transitions or vacancies, ensuring robust departmental functionality.

  • "Tracks and manages the department's general fund, trust fund, lottery fund, University Foundation funds, and IRA funds."
  • "Processes the department's requisitions, chargebacks, procurement card expenditures, and office supplies."
  • "Responsible for coordination of tenure-track faculty recruitment and hiring."
  • "Coordinates faculty retreats and special events, including Cinematheque, annual showcases."
  • "Oversees monthly master payroll certification, making corrections as needed."
  • Performs other duties as assigned.

Qualifications

  • Equivalent to graduation from an accredited four-year college or university in a job-related field.
  • Equivalent to two (2) years of full-time, technical, analytical, or administrative experience.
  • Additional experience in a job-related field may be substituted for required education on a year-for-year basis.
  • CMS systems and PeopleSoft Oracle experience preferred.

 

Knowledge, Skills, & Abilities

  • Demonstrated proficiency in financial tracking, fund reconciliation, and budgetary reporting, with experience managing multiple fund types such as general, trust, lottery, foundation, and instructional activity funds.
  • Strong analytical skills, including the ability to prepare detailed financial reports, accurately reconcile accounts, advise departmental leadership on financial strategies, and effectively communicate procedural and policy updates to diverse stakeholders.
  • Ability to coordinate and oversee faculty recruitment processes, maintain comprehensive personnel records, and efficiently manage complex administrative tasks, including faculty eligibility verification, contract preparations, and payroll activities.
  • Proven organizational and interpersonal skills necessary for successfully planning and executing departmental events and retreats, coordinating scholarship processes, and providing mentorship and interim administrative support during departmental transitions.

 

Pay, Benefits, & Work Schedule

  • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver, and more.
  • Classification: Administrative Analyst/Specialist / 1038 / 1
  • The anticipated HIRING RANGE: $3879 - $5575 per month, dependent upon qualifications and experience. The salary range for this classification is: $3879 - $7488 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday.
  • This is a Regular position with a one-year probationary period. 
  • The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on student and/or operational needs.
