POSITION PURPOSE: As a unit under the Division of Strategic Enrollment Management and Student Support, the Department of Undergraduate Advising is responsible for supporting students throughout their academic journey by providing guidance and resources to ensure their success. Through a case management model, academic advisors offer personalized support tailored to the unique needs of each student. This includes assisting with class registration, academic planning, and helping students navigate their degree requirements. The department also plays a key role in connecting students to essential campus resources, such as tutoring, counseling, and career services, ensuring they have the tools and support necessary to thrive. Additionally, advisors foster student development by encouraging engagement in co-curricular activities, academic exploration, and timely progress toward graduation.
Under the general direction of the Director of Undergraduate Advising, the Advising Center Coordinator is charged with the oversight, coordination, and implementation of undergraduate advising and services that support the academic success and retention of students within their assigned college. Specifically, the incumbent is responsible for leading the day-to-day advising center operations to include workflow and caseload management, center scheduling oversight, and new advisor onboarding and training. In partnership with the Director, the coordinator is responsible for closely collaborating with their college departments and campus offices to provide vision and leadership for student-centered advising support from the first year through degree completion.
DUTIES & RESPONSIBILITIES:
Undergraduate Advising Center Operations
- Provide high-level direction and leadership in the development, implementation, and assessment of comprehensive advising plans and initiatives that support student retention and success within the assigned college.
- Plan, evaluate and manage a comprehensive academic advising program, using data-informed advising interventions, designed to support the success of students whose courses of study are housed within the assigned college.
- Coordinate caseload and advising assignments to ensure equity and efficiency in advising practices.
- Provide advising to a small caseload of students within the assigned college, investigating and resolving complex situations or problems.
- Conduct regular unit meetings as well as one-on-one meetings with staff.
- In collaboration with the Director of Undergraduate Advising, hire, train and provide lead work direction to academic advisors, student assistants, and administrative support, providing expert guidance on best practices in academic advising.
- Lead academic case management models, ensuring advising staff implement effective strategies for tracking student progress and intervention efforts.
- Create timelines and procedures for advising incoming students, including assessing and modifying processes to maintain quality experience for all students.
- Approve, monitor and/or submit security access for advising staff, administrative support, and student assistants for PeopleSoft, RunnerConnect, OnBase and/or other systems as needed.
- Serve as a subject matter expert and develop and organize training for staff regarding federal laws and regulations, as well as CSU and CSUB policies.
- Provide training for advisors on RunnerConnect and ensure advisors are using the platform to monitor student progress and track advising meetings.
- Provide training for student assistants in forms and petitions processing, accessing database systems and customer service procedures.
- Lead, train, monitor, and evaluate graduate student interns conducting their fieldwork experience.
- Update advisors with department, Dean's office, Enrollment Management, and Chancellor's office initiatives and/or modifications; keep staff updated on technology changes.
- Maintain oversight of the assigned center’s calendar, ensuring proper coverage to meet student demand.
- Approve student assistant timesheets, monitor coverage of student center, plan alternative coverage as needed.
- Coordinate the timely processing of student forms; monitor for accuracy and make recommendations for Enrollment Services and Academic Operations for form and process modification.
- Lead and develop ongoing training and advising materials and conduct professional development opportunities for advising staff to strengthen their expertise in student success strategies.
- Provide feedback to the Director of Undergraduate Advising for the evaluation and assessment of individual advisor duties and performance.
- Actively participate in professional development training, maintaining current and accurate information regarding college student development theory, case management, academic success, retention, and graduation strategies.
- Collaborate with university units outside of the assigned college on behalf of advisors providing advocacy for improvements to advising and problem-solving as challenges arise.
- Plan and organize preparation of orientations and presentation of academic information to new students and parents during orientation, ensuring alignment with institutional retention strategies.
- Serve as a campus leader and representative of the assigned college by serving on campus committees and presenting at outreach and advising events.
- Resolve complex student complaints and escalated advising issues pertaining to the assigned student advising center.
Student Success Initiative Oversight
- Under the direction of the Director, contribute to the development and implementation of special intervention programs and services for first-time-freshmen, first-time transfer students, at-risk, Associated Degree Transfer, Super Seniors, Graduation Initiative, and others.
- Determine advisors' assigned group of students for all ongoing graduation and student success focused initiatives.
- Develop and implement pilot projects, technology solutions, and advising processes to positively impact student success and retentions rates.
- Provide oversight of assigned advisors academic case management and initiative progress.
- Coordinate and analyze student advising data, initiative progress, progress toward degree, academic standing, and enrollment demographics for advising staff, college leadership, Director of Undergraduate Advising, and the AVP of Enrollment Services.
- Provide the AVP of Enrollment Services with a compilation of data and analysis for their assigned college regarding Graduation Action Team Cohorts.
- Coordinate the implementation of retention initiatives to include student contact and the gathering of assessment data for the university.
Data Compilation & Analysis
- Gather and analyze data related to the assigned school’s at-risk student population to identify trends, translating findings into actional strategies.
- Monitor reports on advising caseload, adjusting when necessary to ensure that advisor-advisee ratios remain in compliance.
- Monitor results of academic initiatives and caseload management; analyze center data, create methods of analysis
- and assessment tools and provide intervention as appropriate.
- Extract, collect, analyze and summarize institutional research data using a variety of data sources and tools, including PeopleSoft, Tableau, Qualtrics, and RunnerConnect.
- Provide analysis on student admissions, matriculation, retention, and graduation rates.
Academic Success Committee/Event Participation
- Organize, prepare, attend and facilitate university and college recruitment activities on and off campus; participate in on-site registration events at local community college feeder schools.
- Act as guest speaker to assist with First-year experience course instruction and other campus units to promote academic success.
- Oversee assigned college center public relations and media needs, social media, outreach activities, and promotional materials as they pertain to advising.
- Contribute to the programmatic development and participation in various outreach, retention, and recruitment events such as orientation, Future Runner Day, Kern County College Night and various off-campus recruitment events.
- Compile and analyze outreach event data as requested by the Director of Undergraduate Advising and AVP of Enrollment Services.
- Collaborate with the appropriate college leadership team to assist with commencement activities.
- Coordinate their advisor availability and schedules for outreach and campus events.
- Serve on the Strategic Enrollment Management leadership team.
- Serve on the Graduation Action Team.
REQUIRED QUALIFICATIONS:
EDUCATION & EXPERIENCE – Equivalent to graduation from a four-year college or university in a related field plus upper division or graduate course work in counseling techniques, interviewing and conflict resolution where such are job related and four (4) years of progressively responsible professional student services work experience which includes experience in advising students individually and in groups, and in analysis and resolution of complex student services problems. A master’s degree in Counseling, Clinical Psychology, Social Work or a job related field may be substituted for one year of professional experience. A doctorate degree and the appropriate internship or clinical training in counseling, guidance or a job-related field may be substituted for two years of the required professional experience for positions with a major responsibility for professional, personal or career counseling.
LICENSES – Possession of a valid driver’s license or the ability to obtain by date of hire.

PREFERRED QUALIFICATIONS:
- Academic advising experience in an advising center at CSUB (AH Advising Center, BPA Advising Center, NSME Advising Center, SSE Advising Center, AV Advising Center, or AARC).
- Master’s degree in a related field.
- Demonstrated skills in an institutional/educational environment possessing a customer-oriented and service-centered attitude.
PHYSICAL DEMANDS – SEDENTARY WORK – involves mainly sitting; minimal walking and standing; lifting light weight objects limited to 15 pounds.
