Position Summary

The Departmental Coordinator for the Chemistry Department serves as the primary person responsible for administrative functions in the Department.  The coordinator maintains the class schedule in CMS, gathers and organizes course syllabi and textbook adoptions, processes student adds/drops, prepares departmental correspondence, and assists faculty and staff with questions and administrative support. 

In addition, the Departmental coordinator is responsible for tasks for a Departmental cluster that also includes the Departments of Biological Sciences and Geography.  Departmental cluster tasks include student assistant, instructional student assistant, graduate assistant and teaching assistant hiring, timekeeping and recordkeeping.  The incumbent is responsible for all steps in the process for advertising, hiring, tracking and managing budgets for student assistant lines.

FLSA: Non-Exempt (Eligible for overtime compensation)

Anticipated Hiring Range: $4,058 per month - $4,500 per month

Department Information 

The Department of Chemistry at Sacramento State offers an American Chemical Society approved BS Chemistry degree, a BS Biochemistry degree, BA degrees with concentrations in biochemistry and forensics, and master’s degrees in chemistry, including a biochemistry concentration. The department is undergoing rapid growth and currently has over 400 majors. Our degree programs include a strong focus on instrumentation and hands-on experiences. We place a high value on faculty mentored research for undergraduates and graduate students. Our graduates obtain industry and government jobs in chemistry, biochemistry, and biotechnology; complete MS/PhD programs in all areas of chemistry; complete professional health degrees in medicine, pharmacy, dentistry, and optometry; and teach in high schools/community colleges in the Sacramento region.

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. 

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience. 

Required Qualifications 

  1. Experience coordinating and/or performing entire clerical and administrative support functions in a complex administrative environment 
  2. Experience setting priorities, meeting deadlines, multi-tasking, and evaluating and making recommendations pertaining to operational and procedural matters 
  3. Basic knowledge of and ability to follow standard office procedures (e.g. filing, maintaining of records, answering phone and transferring of voicemail messages) 
  4. Expertise with office software packages (e.g., Microsoft Office, Adobe Acrobat) and office equipment and the Internet 
  5. Ability to provide lead work direction, training, and guidance to student assistants or other office staff and provide input to performance evaluations, when needed.  
  6. Ability to work with frequent interruptions 
  7. Ability to work creatively and independently under general direction related to departmental goals 
  8. Ability to prepare correspondence and utilize spreadsheets and databases 
  9. Excellent written and verbal communication skills with the ability to convey information clearly and accurately (e.g., reports) and with mastery of English grammar, punctuation, and spelling. 
  10. Skilled in interaction with others at all levels within and outside the university, including in sensitive interpersonal situations 
  11. Demonstrated ability to work effectively, inclusively, and sensitively with people from diverse backgrounds 
  12. Experience with promoting diversity, equity, and inclusion 
  13. Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community 
  14. Demonstrated ability to assist with meetings and events coordination 
  15. Ability to maintain and store data, records, and other information securely according to university policy

Preferred Qualifications 

  1. Proficiency with Common Management System (CMS) and other software platforms, such as Cognos, Saclink, OnBase, Handshake, CSUBuy, Qualtrics, Astra, CHRS. 
  2. Experience with preparation of the course schedule, including scheduling classes and reserving rooms
