Job Summary

The Fiscal and Student Personnel Coordinator is responsible for overseeing the financial transactions and student personnel processes for the School of Art. The incumbent will track and monitor accounts and budgets expenses by purchasing, processing payments, and reviewing and reconciling all operating funds for the School of Art and ensuring compliance with university policies and procedures. The Fiscal and Student Personnel Coordinator provides SOA Director, faculty and technical staff guidance for purchasing requirements, student hiring processing.

Key Responsibilities

  • Track and monitor all operating funds for the School of Art: Process payments and ensure expenditures are within budgetary limits and meet policy guidelines, including Endowment, Grant and Donation accounts.
  • Process Student Employment, including Federal Work Study, Student Assistant, Instructional Student Assistant.
  • Provide training and support to department staff on financial, processes and systems. Stay updated on changes in financial policies and procedures. Serve as a resource for financial issues.
  • Assist with budget planning and analysis.

Knowledge Skills and Abilities

Strong understanding of budgeting, financial reporting, account reconciliation, and compliance with financial regulations. Familiarity with human resources policies, student employment processes, payroll systems, and federal employment laws. Exceptional organizational skills and attention to detail, ensuring accuracy in all financial transactions and HR documentation. Ability to analyze financial data, identify trends, and make data-driven recommendations. Excellent verbal and written communication skills, with the ability to explain complex financial and HR concepts to individuals at various levels of understanding. Strong problem-solving abilities to address financial discrepancies, HR issues, and other challenges in a timely and effective manner. Proficiency in financial management software (e.g., PeopleSoft, Banner, or similar), Microsoft Office Suite (Excel, Word, PowerPoint), and familiarity with HRIS systems. Ability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines in a fast-paced academic environment. Strong interpersonal skills to build positive relationships with faculty, staff, students, and university stakeholders.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

Equivalent to five years of administrative support experience required.

Preferred:

• 3-5 years of experience in financial management or HR coordination, preferably in a higher education or arts-related environment. Experience in both fiscal and HR functions is highly desirable.

Physical Summary

  • Light work - Job involves some lifting of medium weight objects (10-20 pounds) and/or 10% - 20% of the job involves standing or walking.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Hiring Range: The hiring range for this position is $4,058 - $5,250 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,058 - $6,653 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.
