Administrative Analyst Specialist I
Admissions and Recruitment

Salary Range: $5,195 - $6,992/Monthly (Budgeted Hiring Salary $5,195/Monthly)

Work Schedule: Full-Time, Monday - Friday, 8:00 a.m. to 5:00 p.m.; non-exempt classification. Occasional evening or weekend work may be required.

Essential Functions: Under general supervision of the Associate Director of Admissions, the incumbent provides day-to-day administrative and operational support for the Applicant Services unit, the front counter office, and recruitment events. The position performs a range of administrative, technical, and analytical duties of limited to moderate complexity in support of admissions processing and event-related operations, with responsibility for coordinating procedures, monitoring workflows, and ensuring compliance with established policies and timelines. The incumbent administers core processes related to the collection, processing, imaging, verification, and data entry of applicant records and admissions documents. This includes entry and validation of external transcript data for transfer credit evaluation, verification of applicant data, and processing of application fee waiver and admission appeals in accordance with established procedures. Using working knowledge of admissions policies and procedures, the incumbent independently interprets guidelines, responds to inquiries, and resolves routine operational issues. The position compiles, tracks, and analyzes data, and generates standard and ad hoc reports to support program operations and decision-making. The incumbent develops and maintains operational databases, including college fairs, presentations, Pre-Admission appointments, and events tracking systems, ensuring data integrity and producing reports for recruitment activities, program evaluation, and planning. The position supports administrative systems and process improvements through the use and implementation of technology solutions and by recommending procedural enhancements to improve efficiency and service delivery. The incumbent organizes and prioritizes multiple assignments, exercises independent judgment within established guidelines, and is accountable for the accuracy and timeliness of work. The role provides lead direction, training, and guidance to other staff and student assistants. The incumbent also serves as liaison to internal and external constituents, providing information and clarification to support cross-functional coordination.

Required Qualifications & Experience: Bachelor's degree from an accredited four-year college or university and/or equivalent combination of education and experience that provides a foundation in administrative principles, practices, and methods. Experience providing lead work direction or training to staff or student assistants.  Experience with data entry, record keeping, data validation, and database maintenance with strong attention to detail, and working knowledge of methods for compiling, tracking, analyzing data, and generating reports. Experience using computerized systems such as student information systems (e.g., PeopleSoft or similar), document imaging systems, and standard office applications. Demonstrated working knowledge of general office practices, administrative procedures, and program operations, with experience performing administrative, technical, and/or analytical duties in support of operational functions. Demonstrated analytical and problem-solving skills to resolve routine to moderately complex issues using established guidelines, and ability to exercise independent judgment. Strong written and verbal communication skills, with the ability to prepare correspondence, explain procedures, and present information clearly. Ability to: learn, interpret, and apply a wide range of policies and procedures related to admissions or similar program areas; organize and prioritize multiple assignments, meet deadlines, and maintain accountability; establish and maintain effective working relationships and serve as a liaison with diverse constituents. The incumbent must have a demonstrated interest and/or ability in working in a multicultural/multiethnic environment and in a high-volume, customer service-oriented setting with frequent public contact. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who may apply for the position.  A task may be included as part of the interview process.

Desired Qualifications: Experience working in a college or university admissions, enrollment management, or student services environment, with working knowledge of CSU admissions policies and procedures. Experience supporting workflow coordination, process improvement, or implementation of administrative systems or technology solutions, and the ability to support data-informed decision-making through reporting and basic analysis. Familiarity with systems such as Cal State Apply, CMS PeopleSoft, Liaison Outcomes, Smartsheet, MS Bookings, and document imaging systems such as OnBase.
