About the Position

The Identity and Office 365 Analyst is a critical role within the Information Technology Services (ITS) department at Cal State East Bay, responsible for managing and supporting the identity lifecycle, access controls, and Office 365 services for students, faculty, and staff. This position ensures the efficient operation, integration, and security of identity management systems, along with the administration of Office 365 tools, to enable a seamless user experience across the campus. The ideal candidate will have experience with Microsoft Azure AD, identity management, and Office 365 environments in a higher education or similar organizational setting.

Working under general supervision and direction, this position is responsible for ensuring effective operation of the Identity and Office 365 environments, using monitoring tools and system utilities, as well as performing operational processes required for the continued availability of ITS services.

Responsibilities 

Identity Management:

  • Manage user lifecycle processes, including account creation, modification, deactivation, and access provisioning across multiple systems (e.g., Active Directory, Azure AD, Office 365).
  • Support Single Sign-On (SSO) solutions and multi-factor authentication (MFA) for university systems to enhance security and user convenience.
  • Perform user role management and ensure correct access to resources in accordance with university policies and security requirements.
  • Coordinate identity federation between internal systems and third-party applications for seamless access.
  • Troubleshoot and resolve identity-related issues, ensuring minimal disruption to faculty, staff, and student services.

Office 365 Administration:

  • Administer and support Office 365 suite of applications, including Exchange Online, SharePoint Online, OneDrive, Teams, and others.
  • Configure and maintain user mailboxes, SharePoint sites, and OneDrive storage as needed.
  • Manage license assignments, including auditing license usage and ensuring optimal license distribution across the institution.
  • Assist with troubleshooting and resolving issues related to Office 365, including email routing, collaboration tools, and syncing.
  • Support integration of Office 365 applications with other institutional systems as required.

Security & Compliance:

  • Assist in the implementation and monitoring of identity and access management policies, including compliance with FERPA, HIPAA, and other regulatory requirements in the higher education context.
  • Work with the security team to ensure that appropriate access controls are implemented and maintained in Office 365 and identity management systems.
  • Conduct periodic audits of user access and permissions across systems to ensure that user roles and privileges align with organizational needs.

Collaboration & User Support:

  • Provide technical support and training to end-users, including faculty, staff, and students, regarding identity management systems and Office 365 tools.
  • Work closely with various university departments to understand their requirements and provide customized solutions for identity and access management.
  • Document processes, policies, and troubleshooting procedures to ensure that team members can resolve issues efficiently.

Continuous Improvement & Projects:

  • Participate in the design and implementation of new identity management tools, systems, and Office 365 configurations to improve operational efficiency.
  • Stay current on new identity management trends, technologies, and best practices in higher education and recommend improvements to the current infrastructure.
  • Collaborate with IT leadership and other stakeholders to support strategic initiatives related to identity management and cloud-based solutions like Office 365.
  • Professional Development – maintain technical currency on Cal State East Bay deployed platforms and systems.

Minimum Qualifications

  • A Bachelor’s degree in computer science, information systems, or related fields.
  • Working knowledge of common software application packages, equipment platforms, reference database systems and sources, training methods, and a basic understanding of networks, data communication, and multimedia systems.

Required Qualifications

  • Experience in identity management, Microsoft Azure AD, or Office 365 administration.
  • Strong knowledge of Microsoft 365 administration, including Exchange Online, SharePoint Online, OneDrive, Teams, and PowerShell scripting.
  • Experience with identity management protocols (e.g., LDAP, SAML, OAuth, OpenID Connect) and Single Sign-On (SSO) configurations.
  • Familiarity with multi-factor authentication (MFA) and security best practices for cloud-based environments.
  • Strong troubleshooting, problem-solving, and customer service skills.
  • Excellent communication skills and ability to collaborate with cross-functional teams.
  • General system administration of servers that run the Windows and/or Linux operating systems; this includes basic operating system concepts, service management, event log monitoring, and account management;
  • Basic event correlation gleaned from monitoring events as reported by servers and systems and properly managing incidents and problems as they arise in terms of notification and escalation;
  • Account management on various platforms, notably Active Directory and Google Apps, including account creation, modification, as well as password change and management.
  • Hands on expertise of operating and working from an enterprise level ticketing system.
  • General understanding of server, application, network, and access architecture and concepts that make up an IT system

Condition(s) of Employment

Satisfactory completion of a background check (including LiveScan, as appropriate), that may include, but is not limited to: criminal records check, verification of academic credentials, licenses, certificates, credit history, professional references and/or verification of work history is required for employment.  Cal State East Bay will issue a conditional offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.

All background checks are conducted through the university's third party vendor, Accurate. LiveScan is conducted through the University Police Department.
