Position Description

Position Summary

Career Services at San Diego State University is seeking an Office Operations and Fiscal Compliance Lead to coordinate the department’s administrative operations, budget activities, and resource planning. This position serves as a central resource for the Career Services leadership team by monitoring state and grant-funded budgets, preparing reports and projections, coordinating procurement, and helping ensure that department resources align with strategic priorities.

The role also provides operational and project leadership across the department. Responsibilities include improving administrative processes, coordinating facilities and technology needs, supporting onboarding and training, providing lead work direction to professional and administrative staff, and coordinating projects with campus offices and external partners. The position requires independent judgment, strong organizational skills, and the ability to analyze complex information and develop practical recommendations.

Key Responsibilities

  • Administer and analyze Career Services’ state operating and grant-funded budgets, including monitoring expenditures, preparing forecasts, identifying potential issues, and developing recommendations.
  • Coordinate procurement activities and work with the division budget office, SDSU Research Foundation, Procurement, vendors, and other administrative partners to resolve budget and purchasing matters.
  • Lead day-to-day administrative operations, including office procedures, scheduling processes, facilities coordination, equipment needs, service requests, customer service, and front-desk operations.
  • Evaluate administrative systems and processes, identify opportunities for improvement, and develop and implement procedures that support departmental goals and university requirements.
  • Provide lead work direction to professional, administrative, and student staff by coordinating assignments, establishing priorities, providing guidance and training, monitoring progress, and reviewing work.
  • Coordinate employee onboarding, ongoing training, professional development, and team engagement activities within Career Services.
  • Lead and coordinate state-funded, grant-funded, and departmental projects involving Career Services staff, campus offices, the SDSU Research Foundation, and external partners.

Position Information

  • Full-time, benefits eligible, permanent/probationary position.
  • Position is designated Exempt under FLSA and is not eligible for overtime compensation.
  • Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
  • The individual hired into this role will work on campus at SDSU in San Diego.

Education and Experience

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Key Qualifications

  • Expertise in analyzing complex administrative and operational problems, evaluating their broader impact, anticipating potential issues, and developing strategic and practical recommendations.
  • Ability to collect, analyze, integrate, and interpret budget, operational, and program information from multiple systems, funding sources, and administrative entities.
  • Demonstrated consultative and facilitation skills and the ability to gain cooperation and consensus among internal and external constituent groups.
  • Ability to handle potentially sensitive situations and information using sound judgment, discretion, and professionalism.
  • Experience coordinating complex projects involving multiple stakeholders, priorities, systems, or administrative entities.
  • Experience monitoring and analyzing departmental budgets, including tracking expenditures, developing projections, identifying potential issues, and preparing budget information for management.

Preferred:

  • A minimum of four years related experience.
  • Experience working in a higher education, public-sector, or similarly regulated environment.
  • Experience using enterprise budget, reporting, procurement, project-management, or administrative information systems.

Compensation:
Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department’s budget and equity guidelines.

  • Initial step placement is not expected to exceed Step 1 ($5,797.00 per month).
  • Salary step placement for internal applicants will follow the CSUEU Collective Bargaining Agreement.
  • CSU Classification Salary Range: $5,797.00 - $8,445.00 per month (Step 1 – Step 20).
  • Future increases, including step advancements, are subject to contract negotiations.
