Job Summary

The CED Administrative Assistant provides administrative support to the College of Education (CED), the CED ASM, and CED Departments, as needed.  This position will be assigned to support various Departments, Department Chairs/Directors, faculty, staff, and students in a wide variety of areas, including communications, scheduling & program support, record keeping, and personnel matters.  The Administrative Assistant also acts as a customer service specialist for its constituents: faculty, staff, students, and the public-at-large.  This position may support multiple department units at one time and the various units supported can be complex in nature and will require the ability to learn the intricacies of each department.

Key Responsibilities

  • Administration, Communications, & Customer Service. Serves as liaison between student, faculty, and administrators and the public, including answering phones and greeting Department visitors.
  • Scheduling & Program Support. Assist in the process of assigned time requests and reports, and comprehensive exams when needed.
  • Record Keeping & Inventory. Receive and log to track the status of student equivalency forms and submit to designated faculty or faculty program coordinator for review and disposition of student request.
  • Personnel Matters. Assist in maintaining full time and part time faculty files. File student evaluations, appointment forms, and any other personnel related issues.

Knowledge Skills and Abilities

Knowledge and demonstrated experience with Excel and Word. Knowledge and experience with PeopleSoft. Knowledge and experience with university policies and procedures. Demonstrated ability to prioritize and handle multiple tasks and to be a team player. Ability to work in fast-paced environment. Ability to interact politely. Has patience, be professional, and efficiently interact with many visitors and callers. Knowledge of English grammar, punctuation and spelling is required.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

• Equivalent to three years of administrative support experience required.

Testing

A skills test will be conducted at the time of interview. 

Physical Summary

Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,680 - $5,417 per month.

Time Base

1.0  time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
