The College of Education is home to more than 1200 credential and graduate students. The College of Education’s work focuses on closing the opportunity gap. The College’s impact is notable given the fact that we credential the largest number of teachers of any public institution in the state of California and have the largest Doctor of Education (Ed.D.) program in the CSU system. We seek an exceptional individual to join our Center for Careers in Teaching team as the Administrative Support Assistant for the Center for Careers in Teaching (Administrative Support Assistant II). We are seeking an exceptional individual to join our team as an Administrative Support Assistant II. Under the general supervision of the Director of the Schools First Federal Credit Union Center for Careers in Teaching (CCT), the Administrative Support Assistant II maintains a clean, welcoming and supportive environment in the CCT. Supports the daily operations of the CCT, including maintaining office coverage during regular business hours, answering phones and managing the CCT email account. Responds to needs of students which may require confidentiality and researching, interpreting and resolving issues based on knowledge of university and department policies and procedures. Assists in preparing reports for the Dean’s office, Vice President Academic Affairs, state and national credentialing agencies and the Chancellor’s Office. Researches, prepares reports and compiles data such as student utilization of the CCT. Prepares materials for meetings or events and assists in event and meeting planning. Process travel authorizations, blanket mileage and expense reimbursements. Maintains records and receipts for all purchases and reconciles department procurement cards. Processes check requests for student fee refunds. Coordinates purchasing of office supplies. Processes Directive 11 forms and purchase orders, oversee purchasing of office supplies and programmatic needs, reconcile procurement card statements. Assists the director in tracking and maintaining budget records for multiple accounts and verify accuracy of tracking and spending. Generates, monitors and processes work order requests and serves as a liaison as requests are completed. Serves as the Department Information Technology Coordinator (DITC). Uses a variety of office support technology and systems, such as the Office Suite programs. Supports the hiring, training and work of student assistants. Assist with program websites updates and social media content. Participates in applicable meetings, committees, and training. Support credential program staff. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and three years of experience in general office, clerical or secretarial work or the equivalent. General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, practices, and equipment. Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing. Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions. Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data. Ability to work on the front line, with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions. Basic typing and keyboarding skills.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

Preferred Qualifications

Previous front-line customer service experience. Familiarity with the College of Education in another College/Department at a CSU. Possession of strong communication skills. Experience using Microsoft Word, Excel, Outlook, Adobe software, and CMS PeopleSoft. Ability to multitask.

License/Certifications

A valid California driver's license and/or a reliable means of transportation for all local travel. Ability to lift and carry program materials (up to 25 pounds) with or without accommodation.
