Join San Diego State University’s dedicated team as a Division Care Operations Specialist (Administrative Analyst/Specialist Non-Exempt), where you’ll play a vital role in delivering responsive, efficient, and accurate financial and procurement support across our Business and Financial Affairs (BFA) Division.

Key Responsibilities:

As the Division Care Operations Specialist, you’ll contribute to essential behind-the-scenes operations that keep our campus running effectively, including:

  • Procurement & Financial Support: Serve as a central resource for departments within BFA by coordinating procurement requisitions and ensuring timely processing of purchase orders, payments, and reimbursements. You’ll work closely with departments, vendors, and campus partners to maintain accurate records, address discrepancies, and support contract administration.
  • Payment Processing & Reconciliation: Help facilitate payments and reconcile procurement activity, including credit card transactions using Oracle. Your attention to detail will ensure accountability and transparency in all financial activities.
  • Customer Service & Collaboration: Be a dependable point of contact for staff, vendors, and stakeholders. With professionalism and courtesy, you’ll respond to inquiries, gather documentation, and ensure prompt resolution of requests or issues.
  • Operational Efficiency: Maintain organized logs and systems that support Division Care’s daily operations. Your proactive communication and follow-through will support a culture of continuous improvement and cross-functional teamwork.

Position Information

  • This is a full-time (1.0 time-base), benefits eligible, temporary position with an anticipated end date of one year from date of hire, with the possibility of reappointment.
  • This position is designated non-exempt under FLSA and is eligible for overtime compensation.
  • Work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
  • This position is approved for partial telecommuting with onsite work in San Diego.

Department Summary

The Business & Financial Affairs Division Care (shared services) unit is responsible for providing the division with efficient, effective and customer-friendly consultation and support by facilitating financial, procure-to-pay, position management and other related administrative transactions on behalf of BFA departments. BFA Division Care is comprised of a project-focused team and an operations-focused team; the project team provides financial and procure-to-pay support for facilities and construction projects; the operations team provides operational (non-project) financial, procure-to-pay, position management and other related administrative transactional support to department and divisional management.

Education and Experience

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Key Qualifications

  • Experience creating and processing Purchase Requisitions in Oracle Financials.
  • Experience with Smartsheet Software.
  • Education and experience in procurement, university operations, or project management.
  • Proficiency and skill in database management, word processing and spreadsheets using Microsoft Word and Excel, and Google Suite.
  • Demonstrated willingness to act with initiative and to proactively identify upcoming issues and tasks, and to make recommendations on the same as necessary.

Compensation and Benefits

Starting salary upon appointment is not expected to exceed $4,799 per month. 

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: $3,879 - $7,488 per month.
