Enrollment Management Systems (EMS) supports the efforts of all PEMSA units as they work to fulfill their roles and responsibilities. EMS and its management focus on internal support for PEMSA and maintaining the integrity of data and information systems associated with student admission, advisement, financial aid, and enrollment whether used by PEMSA or other units in the University. The AVP fulfills the role of data steward for all student data. Through the use of data processing and document imaging technologies, EMS supports administrative processes that serve directly students, faculty, and staff. We coordinate the necessary editing of inconsistent student data to insure accurate quarterly reporting of enrollment and academic planning data to the Office of the Chancellor. Success in document imaging is measured by the timely processing and image capture of documents received. Success in other areas are judged by meeting reporting deadlines for adhoc and system-wide reporting, maintaining the operation capacity of data systems, and steady progress on systems projects that includes meeting project plan milestones and completion dates.

Under general direction, the Financial Aid Business Analyst performs administrative functions, provides technical leadership and direct support for a complex functional unit that impacts a large segment of students. Job duties will include, but are not limited to: assess, formulate and evaluate technical functionality of the student administration system as well as automated processes to insure compliance with CSU and CSUEB policies; conduct operational assessment of data setup, cross field functionality, and recommend changes to manage processes in a more efficient manner; monitor and review all technical processes and recommend enhancements to functional and technical team managers, consult with technical staff on approaches for resolution of technical problems. The incumbent will also serve as the primary contact on cross-function issues, maintain setup and configuration of module components and participate in creation of testing and implementation plans for student administration modules. Business analysts may also receive cross-training on other student modules within PeopleSoft.

RESPONSIBILITIES: The primary responsibilities of the business analyst are:
Ensure ongoing configuration maintenance of the PeopleSoft module; serve as liaison between function staff and faculty and ICS/PEMSA technical staff; understand the business requirements of the functional area and translate business needs into techinical requirements for interfaxces, reports or modifications; attend training and lead ongoing training, including creation of documentation and business process guides, of new and current staff throughout the campus; act as the primary tester for any new modifications or reports; analyze future software patches and vendor/CSU modifications for impacts on the installed system; ensure that all processes and procedures related to PeopleSoft are well documented; serve as liaison to the PeopleSoft project for upgrades and other ongoing activities; participate in conference calls with CSU user groups and attend meetings as needed; assist with processing and resolution of difficult data discrepancies and assist with troubleshooting with the assigned functional areas.

REQUIRES: Equivalent to over five years of experience, directing the work of technical/professional and/or administrative staff; managing/coordination program(s) or an organizational unit. BA/BS in information systems or a related field; knowledge of financial aid business processes; excellent organization skills; ability to work independently, make judgments, decisions and commitments within a team environment; excellent facilitation skills; ability to influence and drive a decision home while collaborating with a decentralized customer base; excellent oral and written communication skills; excellent presentation skills; strong analytical skills and agility to understand and troubleshoot financial aid systems issues; ability to adapt to changes and be proactive in identifying when changes impact PeopleSoft financial aid; strong knowledge of Microsoft Office Suite including Outlook, Word, Excel and Powerpoint. Demonstrated ability to communicate effectively with diverse student, faculty, staff and community is essential.

MINIMUM QUALIFICATIONS: BA/BS in information systems or a related field; must be able to sit for long periods at a computer workstation while using PC, keyboard and mouse.

PREFERRED SKILLS & KNOWLEDGE: Knowledge of Principles Used in FA processing; experience writing complex SQL queries; knowledge of higher education administrative systems; evidence of independent decision making and application of policies or procedures.
