Description:
Department: Environmental Health & Safety

Status: Temporary “non-exempt” positions through December 31, 2013 with the possibility to convert to permanent.

Salary: $2,808.00 to $4,212.00 per month

Work Schedule: Monday through Friday, 8:00 a.m. to 4:30 p.m.

Duties:
Under the general direction of Environmental Health & Safety (EHS) Director, the incumbent will provide general office support, serve as office receptionist, compose and edit routine correspondences, make travel arrangements and process the necessary paperwork, and order and maintain general office supplies and office equipment. The incumbent will be responsible for independently creating and maintaining manual and electronic records, files, and record-keeping systems. The incumbent will reconcile invoices and manifests, compile and prepare various reports, provide routine information by gathering and analyzing data, tracking and monitoring departmental activities and events, as well as financial data. The incumbent will share responsibility for the LMS Training Program which may include scheduling, advertising, training room preparation, and attendance recordkeeping. The incumbent will assist with program compliance and administration, which includes program research and development, program implementation, program recordkeeping, and program review, analysis and audit. Examples of work activities include: coordinate meetings and events; ensure program regulatory compliance with all federal, state, and local agencies with a focus on CalOSHA Standards; independently research, assist technical staff with development and management of programs, plans, policies, and procedures which promote personal safety and well-being for all university employees; schedule safety meetings, announce meetings, prepare agenda, record and distribute minutes, follow up and closure of action items.

Qualifications:
Applicants must possess the equivalent to three years of related work experience. Applicants must have experience in general office clerical work, along with well developed oral and written communication skills, editing skills and computer skills. Applicants must have good interpersonal and communication skills along with excellent customer service skills. Applicants must possess a thorough knowledge of office methods, procedures and practices. Knowledge of MS Word and Excel is required. Applicants must have strong organizational skills. Applicants must have the ability to follow directions, take initiative, be flexible, have the ability to multi-task and independently make decision on a day-to-day basis, and be accountable for work performed. Applicants must have the ability to independently interpret and apply policies and procedures, and apply judgment and discretion. The ability to troubleshoot administration problems and respond to all inquiries and requests is essential. Applicants must possess the ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. The ability to perform business math, analyze budgetary data, and make accurate projections is essential. Applicants must possess the ability to effectively write and present reports. The ability must possess interpersonal skills to work with a diverse campus is required. The ability to handle highly sensitive interpersonal situations along with the ability to maintain confidential information and records accordingly is required.
